Consider a customer asking whether a component specification applies to their use case. The owner establishes the product, version and operating conditions, then locates the current specification and approved changes. Conflicting or absent information remains an open question. A reviewer checks the evidence and disclosure scope before an AI-assisted draft becomes a customer response.

When a source changes, its use in earlier answers should remain traceable. A new version does not automatically invalidate every previous conclusion; the responsible team must assess the impact.
Connect storage with the work it supports

Evaluate retrieval with real questions
Prepare frequent questions, questions with no documented answer and questions affected by conflicting versions. Assess finding the right document, citation support and unauthorized disclosure separately. Use representative tables, scans and drawings to evaluate extraction quality.
Measure draft correction time and time to a reviewed response alongside search time. Record which questions still require a source owner to intervene. Extend the workflow when users can inspect why an answer is supported.
